When importing data to Pipedrive from a spreadsheet, it's crucial to include the fields that are mandatory for each item to be imported successfully. This guide outlines which fields are necessary for importing.
For general information on importing data to Pipedrive, you can read this article.
If you don't import your data with the mandatory fields, no items will be created, and a skip file will be generated.
Leads
Every lead in Pipedrive needs to have either a contact person or organisation linked to it. To import a lead, you will need the lead title and one of the following in your spreadsheet:
- Person name
- Organisation name
If your contact names are in one column (as shown above), use the person name field when mapping your import. If the names are separated by first and last name into separate columns, map the first name and last name fields in Pipedrive.
When mapping your import, you will have to map your spreadsheet columns to the Pipedrive data fields. Once the import is complete, your leads will be automatically linked to your contacts.
Additional Fields: You can also import a note or owner along with your leads.
Deals
Similar to leads, every deal in Pipedrive needs to have either a contact person or organisation linked to it. To import a deal, you will need to add at least one deal field and any of the following in your spreadsheet:
- Person name
- Organisation name
While the deal title is recommended, it’s not mandatory. If you don’t include a deal title, the deal will automatically take the name of the contact it is imported with.
Additional Fields: You can also include the following deal fields:
- Owner
- Stage
- Value
- Expected close date
- Any custom fields
For historic or already closed deals, you can use:
- Won time
- Lost time
- Status
To import a deal, you don't necessarily need to have a deal title in your spreadsheet. If you want to create deals for each person or organisation, create an empty column in your spreadsheet for the deal titles and map it to the Deal-Title field. The deal's titles will automatically take the name of the organisation or contact person.
Contacts: People and Organisations
For people and organisations, the name is mandatory for successful contact creation. However, it is recommended to add more fields to better identify your contact and avoid duplicates. Learn more about how Pipedrive detects duplicates during importing in this article.
To prevent duplicates for people:
- Email address
- Phone number
To prevent duplicates for organisations:
- Address
You can create organisations and people separately, but it’s recommended to import them together to link them automatically.
Red in the above images represents a mandatory field.
Products
To import a product, you need the product name in your spreadsheet.
Additional Fields: You can also include fields like price, currency, description, and any custom fields.
It’s not currently possible to link products to deals through an import. You can only link a product to a deal after the data has been imported into Pipedrive.
Notes
Notes can be added under deals, people, organisations, activities, and leads, but cannot exist independently. When importing a note, include information for one of the following (and their mandatory fields):
- Organisation
- Person
- Deal
- Lead
Additional Fields: You can add fields like note creation date and note update date.
Activities
For activities, there are no mandatory fields. However, it is recommended to include information such as the subject, due date, type, assigned user, and any linked deals, leads, or contacts.
For completed activities, include historical fields like done time and marked as done time.
