Updating Pipedrive Data with a Spreadsheet

This action is only available to admin users and regular users with the correct permissions enabled.

Managing a large database of deals, people, or other items can naturally lead to outdated information over time. Manually updating each entry can be time-consuming, but Pipedrive allows you to update your database in bulk using the Pipedrive System ID feature.

Pipedrive System ID Feature

Every item in Pipedrive—deal, person, organisation, activity, product, note—is assigned a unique ID upon creation. This ID can be found in the URL of the detail view of each item or added as a column in the list view.

Exporting Your Data

Which IDs and Fields Should I Use?

To update your items, include the Pipedrive System ID and any other fields you'd like to update. For instance, if you want to change the values, stage, and ownership of existing deals, export a list with the ID column plus the Value, Stage, and Owner columns.

You can export additional columns for reference, like the title, but any changes in those columns will be overwritten upon import.

How Do I Get the Pipedrive System IDs in the List View? To make the ID column visible:

  1. Click the gear icon to open the "Choose columns" section.
  2. Search and select the desired ID field.
  3. Click "Save".

IDs for deals, people, and organisations can be viewed in the deals tab list view. Contacts with no associated deals need to be accessed from the contacts tab list view.

Filter to narrow down the list to only items you want to update, then export the list.

Importing Your Data

After exporting, make necessary changes in the spreadsheet. Below is an example before and after changes:

Import the updated spreadsheet into Pipedrive and map the corresponding ID fields to their columns.

Once all fields are mapped, click “Next” to finish the import. Pipedrive will update the database with the new information using the Pipedrive System ID.

If you receive an error during import, it may be due to your spreadsheet's size or format. The maximum file size is 50MB with a limit of 50,000 rows. Learn more about importing errors here.
