What is the Difference Between a User and a Seat in Pipedrive?

In Pipedrive, your subscription is determined by the number of seats you have in your account. Each active (or invited) user occupies one seat, but you can also have empty seats if users have been deactivated or not yet added.

We differentiate between users and seats in Pipedrive to provide flexibility in managing your team without immediately affecting your subscription.

  • Seat: This represents the number of possible active users in your account. You are billed based on the number of seats, and extra seats can be removed via the Billing tab.
  • User: These are the individuals added to your Pipedrive account. You can have fewer active users than seats, but you will still be charged based on the number of seats. User management can be handled under Company > Manage users.

It's advisable to either fill free seats with users or remove unused seats to avoid unnecessary charges.

All seats in your account will be billed according to the plan already in place.

What Happens to My Billing When I Deactivate a User?

When you deactivate a user in your company account, you have the option to keep or remove the seat:

  • Keep the Seat: This allows you to replace the deactivated user with a new user without changing your billing.
  • Remove the Seat: This change will take effect at the beginning of the next billing cycle, adjusting your subscription accordingly.
