Choosing a HubSpot reporting and dashboard agency

The right agency for HubSpot reporting audits the data feeding your reports before it rebuilds a single dashboard.

The agencies best placed to improve HubSpot reporting are the ones that audit the data feeding your reports before they rebuild a single dashboard. Most HubSpot reporting problems are not reporting problems: the dashboards exist and the reports are built, but the numbers do not match what the team knows to be true, because the records underneath them are incomplete, duplicated or inconsistent.

If deals are missing from pipeline reports, lifecycle stages contradict what sales says, and the board's questions cannot be answered with confidence, a new dashboard will show the same wrong numbers more attractively. This guide covers why that happens, what a proper reporting engagement covers, and how to choose who to hire.

Why do HubSpot reports fail to drive decisions?

The most common reason a HubSpot dashboard is not useful is a data problem, not a configuration one. Five faults account for most of it.

  1. Lifecycle stages are wrong. Contacts and companies marked as Customer when they are not, or left at Lead long after they converted. Every report that uses lifecycle stage as a dimension inherits the error.
  2. Deal values are missing or zero. Pipeline value, forecasting and revenue attribution all depend on deals carrying an accurate amount. Zero-value deals, deals with no close date and deals that have never moved stage are common in portals set up without governance rules.
  3. Marketing contact status was never decided. Email performance, campaign attribution and audience size only mean something if the marketing contact flag reflects a deliberate rule about who should receive marketing. In many portals it reflects whatever an import happened to set.
  4. The properties reports depend on are blank. Reports that segment by sector, region, deal type or lead source only work if those properties are filled in consistently, and they rarely are.
  5. HubSpot and the system of record disagree. Where HubSpot runs alongside a finance system, an ERP or a legacy CRM without a proper integration, each holds a different version of the customer. Reports drawn from HubSpot alone are partial.

None of these is fixed by rebuilding the dashboard. We cover the leadership side of this in why leadership stops trusting the CRM dashboard.

What does good HubSpot reporting optimisation cover?

A genuine reporting engagement works on two layers, in order.

LayerWhat gets checked
1. Data integrityLifecycle stage accuracy, deal amounts and stages, completion of the properties the reports use, duplicate contacts and companies that distort counts, and integrations that create conflicting data
2. Reporting structureWhich reports are used and which are ignored, whether the right objects and properties are being reported on, where custom reports are needed, and whether the dashboards support the decisions the business actually makes

An agency that starts at layer two builds reports that look good and stay wrong. Duplicates are usually the first thing layer one finds.

Which HubSpot reports do leadership teams struggle to trust?

These are the five reports leadership teams ask for most and trust least, and what each one depends on.

ReportOnly reliable when
Pipeline by stage, with valuesEvery deal carries an amount and sits in the right stage, and stages are progressed rather than skipped
Revenue attribution by sourceLead source is set when the contact is created and survives through to the closed deal, with no gaps from imports or manual records
Customer lifecycleLifecycle stage reflects actual customer status, not the state a batch import left behind
Sales activity against outcomesActivities are logged consistently and associated with the right deal, contact and company
Marketing contact healthMarketing contact status follows a rule, and email validity is maintained over time

In every case, the report is only as reliable as the data governance behind it.

What types of agency can help with HubSpot reporting?

  1. Reporting and configuration specialists. HubSpot partner agencies, many listed in HubSpot's own Solutions Directory, whose strength is dashboard architecture, custom report builds and attribution setup. The right choice when the data is broadly sound and the gap is in report design.
  2. Enterprise HubSpot partners. Larger agencies working across multi-hub, multi-team and multi-region portals. A better fit for significant complexity than for a single sales team.
  3. Freelancers on Upwork and Fiverr. Suitable for a defined dashboard build, a specific report or a one-off configuration task. Not the answer when data quality is the problem, or when several sources need reconciling before reporting means anything.
  4. Data-first CRM specialists. Agencies that start with the data feeding the reports and design the dashboards afterwards. The right fit when the dashboards exist but the numbers cannot be trusted.

Where does Flowbird fit?

We are Flowbird, a UK HubSpot Solution Partner since 2014, and we sit in the fourth group. Our CRM reporting work starts one layer down from the dashboard: a CRM Data Audit that measures lifecycle stage accuracy, deal integrity, property completion, duplicate volumes and marketing contact status, and puts the findings in a written report before we recommend any configuration change.

Then we agree what each number means with the people who use it, fix the records rather than writing reports that filter around them, and build role-based dashboards in HubSpot. Our managed service keeps the data in shape on a fixed monthly basis, so it is maintained rather than audited once and left to drift.

If your data is already sound and the gap is purely in report design, a configuration specialist may suit you better, and we would rather say so.

How can you test your HubSpot data before hiring anyone?

Run four checks in your own portal first.

  1. Lifecycle stage. Count the contacts marked as Customer, then count how many of those have at least one associated closed-won deal. A big difference means any report using lifecycle stage is unreliable.
  2. Deal amounts. Count the open deals with a zero or blank amount.
  3. Lead source. Work out the share of contacts with no lead source recorded.
  4. Company association. Work out the share of contacts with no associated company.

If any of these shows a significant gap, the right first engagement is a data audit, not a dashboard rebuild. The reasoning is in reporting trust starts below the dashboard.

What does HubSpot reporting optimisation cost?

A dashboard rebuild on its own is usually the cheaper engagement, and the less useful one if the data is the problem. A dashboard built on unreliable data presents confident-looking wrong numbers.

Our CRM Data Audit is £950 + VAT, delivered inside the Customer Platform Assessment over two to three weeks. Remediation and reporting work is then scoped and priced from what it finds, and the fee comes off a managed service in full if you start one within 60 days.
