RealCRM: a telesales CRM for outbound teams
RealCRM is the telesales platform Flowbird built for outbound calling teams: one prospect at a time, every outcome logged and every callback on time.
RealCRM is a telesales CRM built by Flowbird for teams whose day is the phone: telemarketing agencies, SDR teams and appointment setters. It puts one prospect in front of the caller at a time, makes them log what happened before moving on, and brings every warm and hot callback back to the top of the queue when it is due.
You can [try the live demo](https://realcrm.flowbirdhosted.com/campaigns) without signing up. Pick the Admin, SDR or BD account and click around; it runs on sample data.
What does RealCRM do?
- Works a call queue. Each SDR sees the prospects due today in priority order and presses Start Calling. RealCRM opens the next one and moves to the one after when the call is logged.
- Locks the prospect being called. Opening a prospect locks it to that caller for a set time, so two people never ring the same person at once.
- Logs every call in one click. Five outcomes: No Reply, Not Interested, Warm Callback, Hot Callback and Appointment, with notes.
- Brings callbacks back on time. Each campaign sets how long a warm or a hot prospect waits before it is due again, and the queue does the remembering.
- Hands appointments to Business Development. A booked meeting is assigned to a BD with the date, time and method, and the BD sees it in their own view.
- Recycles stale data. A search finds prospects with too many unanswered calls or no recent attempt, ready to export or bring back into circulation.
How is RealCRM organised?
Campaigns hold pots, and pots hold prospects. A campaign is the outreach programme, with its own status, callback windows and SLA rules the callers can read. A pot is a slice of the list inside it, such as one sector, region or seniority. Prospects are allocated to an SDR as owner, and carry priority, status, call count, no-reply count, the last outcome and the full call history.
Prospects come in by CSV import, straight into a pot and tagged with a batch name, so you can always tell which list a record came from.
Who uses RealCRM?
| Role | What they see | What they do |
|---|---|---|
| SDR | Their call queue, the call screen and the call log | Make calls, log outcomes, book appointments |
| BD | The appointments assigned to them and the call log | Take the meetings the SDRs book |
| Admin | Everything, plus campaigns, pots, prospects, staff and import | Build campaigns, load data, allocate prospects, recycle lists |
Each database is kept separate, which suits an agency running campaigns for several clients, or a business running more than one outbound team.
Why not use a standard CRM for telesales?
You can, and many teams do. HubSpot and Pipedrive are built around deals moving through a pipeline. A telesales floor is built around calls: hundreds of short attempts, most of them unanswered, where the work is getting the next dial made and the callback made on time. In a general CRM that becomes filtered views, tasks and reminders the caller has to manage. In RealCRM it is the queue.
If you already run HubSpot or Pipedrive and the calling is a small part of the week, a dialler such as CloudTalk inside that CRM is usually the better answer, and we can set that up too.
Is RealCRM right for you?
RealCRM is a good fit when:
- your team makes a high volume of outbound calls every day
- you run appointment setting for a sales or BD team, or for clients
- callbacks are being missed because they live in diaries, sticky notes or spreadsheets
- you need to see every call made across the team, not just the deals that came from them
It is not the right fit when:
- calling is occasional and most of the sale happens by email or in meetings
- you need marketing automation, deal management and service in one platform
- you want to buy a self-serve tool without talking to anyone
Frequently asked questions
What is RealCRM?
RealCRM is a telesales and SDR calling platform built by Flowbird. It manages call queues, call outcomes, callbacks and the appointments handed to Business Development.
Can I see RealCRM before I talk to anyone?
Yes. The [live demo](https://realcrm.flowbirdhosted.com/campaigns) needs no sign-up. Choose a user to see the platform as an Admin, an SDR or a BD. It is a clickable mockup on sample data, so nothing you do there is saved.
How do we get our data into RealCRM?
By CSV import into a pot. Each import is given a batch name, so imported records can be traced back to the list they came from.
Does RealCRM replace HubSpot or Pipedrive?
Not necessarily. RealCRM is for the calling floor. If you run HubSpot or Pipedrive for the rest of the sale, talk to us about how the two should fit together.
