How to Integrate Your Calling System with Pipedrive

Options, Pitfalls and Practical Steps

If you’re using Pipedrive as your CRM, you’re probably already aware of its slick interface, smart automation, and intuitive pipeline design. But when it comes to integrating a calling system, things can seem a little more opaque.

There are native options. There are third-party apps. There are bespoke setups. And sometimes… there’s just your mobile phone.

This blog is designed to clarify it all - and help you choose a calling setup that actually works for you.

Why integrate calling into Pipedrive at all?

Whether you’re running a sales team or flying solo, integrating your calling system into Pipedrive can:

  • Enable click-to-call from within your CRM
  • Log calls automatically under contacts, deals or leads
  • Save time toggling between devices or tabs
  • Generate better reports on call outcomes and volumes

In short: more visibility, less admin.

Native Pipedrive Calling Options

Pipedrive supports a growing list of native calling integrations through its Marketplace. These are quick to deploy and offer solid out-of-the-box functionality:

Popular options:

Provider Best for Notes
Aircall Sales teams needing call queues, IVR Clean UI, native Pipedrive integration, expensive at scale
JustCall Teams looking for SMS + call in one Affordable, good call logging and auto-texting
CloudTalk International teams Multi-language, call routing, integrates well
Toky Simplicity and small teams Basic but smooth integration

You’ll find these inside the Pipedrive Marketplace, complete with reviews and screenshots.

Pro Tip: Don’t just install — test. Many offer 7-14 day free trials.

Common Pitfalls to Avoid

Assuming it’s all plug-and-play Many platforms integrate technically, but logging calls in the right place (e.g. on deals vs contacts) requires extra mapping or workflow rules.

Using multiple tools that don’t speak to each other If your call software, CRM, and outreach tool don’t share data, you’ll end up with ghost records or duplicated logs.

Relying on automation without strategy Logged calls mean little if they’re not tracked properly. Make sure you define what counts as a successful call - and how you’ll report on it.

Alternatives and Bespoke Setups

If native tools don’t cut it, there are more advanced options:

  • Make.com or Zapier → Build automations from dialer logs into Pipedrive. (Flowbird do not support Zapier integrations, but we'll help you with Make.com)
  • Custom APIs Developers can create tailored integrations for tools like Dialpad, RingCentral or 3CX
  • Chrome Extensions → Some softphones allow click-to-dial via browser extensions, but logging may still be manual

This route takes more setup - but gives you more flexibility.

Something You Can Do Right Now: Enable Click-to-Dial

Even if you’re not ready to fully integrate your calling system, you can still use Pipedrive’s click-to-call functionality by setting your browser’s default calling protocol.

On Windows:

  1. Go to Settings > Apps > Default Apps
  2. Scroll to Choose default apps by protocol
  3. Look for TEL and assign your softphone app (e.g. Skype, Teams, Zoom Phone)

On Mac:

  1. Open the app you want to use for calling (e.g. FaceTime, Skype)
  2. In the app preferences, set it as the default handler for tel: links
  3. Restart your browser to apply the change

Now, when you click a phone number in Pipedrive, your chosen dialer will launch.

Summary

Integrating your calling system into Pipedrive is a simple upgrade that delivers real value. Whether you opt for a native tool like Aircall, a flexible solution like JustCall, or build your own with Make.com - the goal is the same:

Better visibility, less admin, and more connected sales.
If you’re unsure which route is best, we’re happy to help — but hopefully, this guide has already given you a clearer picture.
